Team Personal Assistant (1 year fixed term contract, 26.5 hours per week)

The Team Personal Assistant is a key supporting role working alongside our Partners and Directors. You will provide proactive support in all dealings, assisting with the delivery of projects and company initiatives as well as reporting, planning, scheduling, and organising tasks to keep time and attention focused on company goals, objectives, and priorities.

Success in this role will see the Team Personal Assistant demonstrate the ability to plan, prioritise and manage multiple tasks with multiple deadlines, whilst maintaining attention to detail. Schedules will be organised efficiently, with no conflicts, and meetings prioritised for maximum effectiveness and time utilisation.

The Team Personal Assistant plays a key supporting role in building our company’s reputation with employees, customers, and other stakeholders. In this role it will be critical to maintain cordial and respectful relationships and be influential in promoting our culture, working environment and brand. 

This role requires someone who has a passion for learning and strives for continual improvement, on both a personal level and within the wider network of PAs and EAs. Success will see you take ownership of your development, that you’ll be fully supported with by the business, and contributing to the overall success of the team.

The individual in this role will have access to many forms of confidential and sensitive information. Being able to maintain confidentiality and exercise discretion at all times is essential for success.

Key duties

  • Co-ordinating schedules, events, appointments, reservations, and travel arrangements.
  • Reviewing inboxes, ensuring emails are redirected as required and responded to in a timely manner.
  • Act as a liaison between all departments, stakeholders, and clients.
  • Proactively supporting Partners/Directors in driving forward business objectives.
  • Reliably prepare, edit, and maintain correspondence, communications, presentations, and other documents.
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organising and presenting the information in useable and understandable formats.
  • Support the wider PA/EA team and assist in the induction of new employees.
  • Ensuring a constant and timely flow of information across all areas of the business. 
  • Continuously look to improve processes and working practices.
  • Actively seeks to expand role into new areas adding wider value of support to the business and providing a first-class service. 
  • Working collaboratively and communicatively with other Team Personal Assistants is essential.

 

Your skills and experience

  • Previous experience in a similar role is essential.
  • Proficient user of the MS365 suite of applications.
  • Attention to detail and proven ability to effectively prioritise workflow is key.
  • Demonstrates effective communication skills.
  • Ability to exercise good judgement, show initiative and be proactive.
  • Ability to work autonomously and in a team in an organised and detailed manner.
  • High standards of ethics and confidentiality to handle sensitive information.
  • Ability to manage multiple conflicting deadlines.
  • Emotional intelligence.
