The role
As Workplace Assistant, you’ll be the friendly face and trusted presence at the heart of our Leeds office. You’ll combine front‑of‑house excellence with facilities and workplace support, ensuring everything runs smoothly for colleagues, visitors and partners.
This is a new role, so you’ll also have the chance to influence how it develops – bringing ideas, energy and initiative to continually improve the office experience.
Core working hours are 08:30–17:00, with occasional flexibility for events or out‑of‑hours support.

What you’ll be doing
- Creating a professional, welcoming front‑of‑house experience for visitors and colleagues
- Managing calls, enquiries, post, couriers, taxis and travel requests
- Keeping the office looking its best – organised, well‑presented and fully stocked
- Acting as the first point of contact for facilities and catering queries
- Supporting meeting rooms, events and office activities, including catering and set‑ups
- Coordinating suppliers and supporting onboarding where needed
- Managing access cards and maintaining accurate records
- Supporting health, safety and environmental processes, including Fire Warden duties
- Helping organise office socials, wellbeing activities and internal events
- Working closely with IT, Facilities and Business Support teams to deliver seamless operations
- Championing workplace tools such as Condeco, Sign‑In systems and SharePoint
- Contributing ideas that help create a positive, inclusive workplace culture
What success looks like
You’ll be known as a reliable, approachable and proactive presence in the Leeds office. Colleagues trust you, visitors feel instantly welcome, and the office runs efficiently because issues are anticipated and resolved quickly. Your impact is felt in the atmosphere of the workplace as much as in the detail behind the scenes.
About you
- You’ll likely have experience in a front‑of‑house, customer service or office support role, and you genuinely enjoy helping people.
- You’ll bring:
- A passion for great service and a naturally welcoming style
- Strong communication, organisation and time‑management skills
- Confidence using Microsoft 365 and workplace systems
- The ability to work independently, using initiative and sound judgement
- A calm, adaptable approach in a varied and busy environment
- Curiosity about how the business works and how things can be improved
- Facilities or office operations experience is helpful, but attitude, professionalism and people skills matter most.
