Group Coordinator

We’re looking for an organised and proactive Group Coordinator to join our team on a 12-month fixed-term contract. This is a key support role within our Engineering teams, helping to ensure the smooth day-to-day running of projects, processes, and team operations.

 The role will be based from our London office on a hybrid working arrangement.

You’ll work closely with engineers and wider business services teams, playing a central role in coordination, communication, and administration across a busy and collaborative environment. 

What you’ll be doing

  • This is a varied role where no two days are the same. Key responsibilities include:
  • Coordinating team activities, including meetings, reporting, presentations, and away days
  • Supporting bids and business development activity by preparing CVs, documents, and submissions
  • Managing travel arrangements and diary coordination for the team
  • Taking meeting minutes and tracking actions for both internal and client-facing meetings
  • Ensuring engineers complete timesheets and supporting project administration
  • Formatting and producing high-quality documents in line with brand guidelines
  • Supporting onboarding for new starters and coordinating key people processes (e.g. career development meetings)
  • Maintaining SharePoint pages and ensuring information is accurate and up to date
  • Assisting with IT coordination, systems usage, and process adherence
  • Providing general administrative support to the wider team and Group Leader

What we’re looking for

You’ll be a confident and detail-oriented administrator who thrives in a fast-paced, team-focused environment.

Essential skills and experience:

  • Strong IT skills, including Microsoft Word, Excel, PowerPoint, SharePoint, and Teams
  • Experience supporting teams in an administrative or coordination role
  • Ability to manage multiple priorities and deadlines effectively
  • Excellent communication and organisational skills
  • High attention to detail and a proactive, problem-solving mindset
  • Comfortable working with stakeholders at all levels of seniority

Desirable:

  • Experience working across multiple teams or locations
  • Knowledge of InDesign (training can be provided)
  • Experience maintaining systems, processes, or quality standards
