Buro Happold is recruiting an Office Manager on a six month fixed term contract to oversee the successful operation of our Edinburgh office, providing a welcoming, effective, and safe office environment that engages its people and provides space for collaboration and creative innovation, and ensuring smooth operation and collaboration between departments.

Key duties:

  • Proactively deal with queries related to the running of the office, engaging the Office Director where appropriate, whilst providing PA support to the Office Director, and maintaining 24hr contact in case of call out. 
  • Continuously looking to support and enhance office functions  including enhancing workspaces, and ensuring office initiatives such as sports and social events, office marketing events, wellbeing, charity events are fully supported. 
  • Supplier management responsibility  – understanding of contract terms and continuously looking to enhance supplier performance, cost and delivery of service. 
  • Proactively communicate with other Office Managers and join scheduled meetings to establish procedures and set standards.  
  • Lead the Office Incident Response Team, maintaining emergency plans and procedures, ensuring other key holders are aware, and incidents are reported, investigated and resolved correctly.
  • Budgetary responsibility for office related costs, including planning yearly budgets, re-forecasting and ensuring budgets are adhered to.  
  • Any other reasonable office related tasks as required.

Your skills and experience:

  • Demonstrable experience in an Office Management role. 
  • Experience in supplier and contract negotiation, relationship-building and budget management. 
  • Previous experience in planning and monitoring HSE objectives.  
  • Solid computer and IT experience of working with Word, Outlook, Excel, SharePoint, and Teams.
  • Demonstrable ability to positively influence decision making. 
  • Experience of Facilities or Operations management would be advantageous.
  • Understanding of general finance and budgeting, would be advantageous.
