About The Role:
As our Facilities Coordinator, you’ll play a key role in ensuring the smooth running of our Edinburgh office. You’ll be the go-to person for facilities-related matters, supporting the Office and Facilities Manager and working closely with teams across the UK. From managing contractors and compliance to creating a welcoming and safe environment, your work will help foster a space where innovation thrives.
Key Responsibilities:
- Act as the main point of contact for facilities and manage the Facilities Helpdesk mailbox.
- Perform regular building checks and ensure Health & Safety compliance.
- Coordinate planned maintenance and contractor schedules.
- Support office moves, setups, and general housekeeping.
- Liaise with suppliers and oversee reactive and scheduled works.
- Maintain accurate records and upload compliance data to internal systems.
- Assist with environmental and sustainability initiatives.
- Raise purchase orders, manage budgets, and source office equipment.
- Open the office daily and support Front of House duties.
What We Are Looking For:
- Solid office experience with a proactive and organised approach.
- Strong IT skills (Word, Outlook, Excel, SharePoint, Teams).
- Excellent communication and interpersonal skills.
- Ability to work flexibly and prioritise tasks effectively.
- Professional, resilient, and calm under pressure.
- Previous experience in a facilities or similar role.
- COSHH Management, IOSH or NEBOSH H&S qualification.
- Familiarity with ISO 14001 and 45001 standards.
- Membership of IWFM, IOSH, or IEMA.
