Buro Happold is recruiting an Executive Assistant to provide a key supporting role working alongside Senior Partners and Leaders within the business, who have c-suite and board level responsibility.
Reporting into the Chief People Officer and Senior Human Resources Leaders, the role will provide proactive and strategic support, assisting with and taking ownership of the delivery of projects and company initiatives as well as reporting, planning, scheduling, and organising tasks to keep time and attention focused on company goals, objectives and priorities.
Based from our London office, the Executive Assistant plays a vital role in building the company’s reputation with employees, customers, and other stakeholders, and will also provide support to the Human Resources Leadership Team for a number of HR projects, administration and support services.

Key Duties:
- Co-ordinate schedules, events, appointments, hotel reservations and travel arrangements, working with other EAs to provide support to the other members of the c-suite and partners, where needed.
- Arrange and attend fortnightly HR Leadership Team meetings (HRLT), sourcing agenda items from the HRLT; taking minutes and distributing, as well as organise the annual HRLT meeting.
- Provide global support for internal Director level Promotions and Buro Happold’s annual Partner Nomination project, arranging interviews and feedback sessions across varying time zones.
- Review inboxes, ensuring emails are redirected as required and responded to in a timely manner. Reliably prepare, edit and maintain correspondence, communications, presentations and other documents.
- Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organising and presenting the information in relevant formats.
- Ensure HR organograms are up to date on internal employee systems, and delegate relevant access to appropriate systems for appraisals, expenses, and annual leave approvals.
- Point of contact for external suppliers of training and other service providers, setting up and raising purchase orders for relevant costs.
- Provide supervision and coaching to junior members of the team as required.
- Continuously look to improve processes and working practices, maintaining respectful relationships and being influential in promoting our culture, working environment and brand, act as a liaison between all departments, stakeholders and clients.
Required Skills
- Previous experience supporting an Executive position.
- Ability to effectively plan and execute tasks and project management.
- Experience working independently, using initiative, prioritising workflow, and making decisions quickly in an organised and detailed manner.
- Ability to maintain confidentiality and exercise discretion, previous experience handling sensitive information.
- Proven passion for learning and continual improvement, on both a personal level and within a wider network of professional peers.
- Demonstrable business acumen including being a proficient user of the MS365 suite of applications.
- Ability to show emotional intelligence and effective communicate.

- Early leaving at the end of the month - Buro Happold actively encourages its employees to finish at 3pm on the last Friday of each month (depending on business demands). These hours can equate to an additional 4 days leave per annum.
