About You

Are you highly organized, detail‑oriented and looking to build your career in project documentation within an international engineering and design environment? We are seeking a Document Controller to join our team in Warsaw or Lublin, supporting multidisciplinary project teams and ensuring the accuracy, compliance and smooth flow of project information.You thrive in a structured environment, enjoy working with systems and documentation processes, and feel confident communicating with colleagues across various disciplines and seniority levels. Your key duties

In this role, you will support project teams by managing documentation processes and ensuring accurate, timely and compliant information flow. Your main responsibilities include:

Document Control & Information Management

  • Managing the registration, distribution, version control and archiving of project documentation.
  • Uploading, downloading and organizing documents in SharePoint, project extranets and CDE platforms.
  • Maintaining document registers and ensuring teams have access to the most up‑to‑date approved information.
  • Supporting consistent use of document templates and adherence to project procedures.

Quality Assurance & Compliance

  • Performing basic quality checks to ensure documents are complete, properly formatted and aligned with project requirements.
  • Recording status changes, revisions and approvals in accordance with internal processes.
  • Assisting project teams in meeting documentation‑related compliance standards.

Coordination & Communication

  • Acting as a contact point for document‑related queries.
  • Coordinating document submissions and supporting preparation for key project milestones.
  • Monitoring document workflows and following up on required actions.

Project Support

  • Supporting project setup activities, including preparing folder structures and initial documentation.
  • Assisting with meeting notes, records and simple tracking reports.
  • Contributing to improvements in document control processes.


Your skills and experience

You bring a combination of organizational, communication and digital skills to support effective document control processes.

Required

  • Secondary education or higher.
  • Strong organizational skills with attention to detail.
  • Ability to work accurately under time pressure and manage multiple tasks.
  • Good communication skills and confidence in interacting with project teams.
  • Proficiency in Polish and English.
  • Solid MS Office skills (especially Word and Excel).
  • A proactive and collaborative working style with the ability to work independently.

Desirable (optional)

  • Experience in document control or supporting project teams in engineering, construction or design environments.
  • Familiarity with CDE/extranet platforms (e.g., Dalux, Aconex, Conject, 4Projects).
  • Basic knowledge of AEC tools such as AutoCAD or Revit.
  • Additional language skills (e.g., German).
