Admin Coordinator
The Administrative Coordinator provides administrative and coordination support to the US-based team, enabling smooth day-to-day operations across time zones. The role exists to support effective communication, scheduling, documentation, and logistical coordination, while maintaining high standards of accuracy, organisation, responsiveness, and service delivery. The role focuses on strong administrative capability and the ability to work collaboratively.

Your next role
- Provide end-to-end administrative support to assigned US-based stakeholders, ensuring smooth coordination across time zones
- Manage calendars, meetings, and appointments, including scheduling across multiple time zones
- Coordinate virtual meetings by setting up calls, sharing agendas, tracking actions, and following up as required
- Support travel arrangements, including booking flights, accommodation, and preparing itineraries
- Prepare, format, and maintain documents, reports, trackers, and presentations
- Maintain accurate records, spreadsheets, and databases to support administrative activities
- Act as a point of contact for administrative queries, responding promptly via email, messaging tools, and calls
- Liaise with internal teams to support information flow and administrative processes
- Handle sensitive information with discretion, ensuring confidentiality and data accuracy
- Assist with ad-hoc administrative and coordination tasks as required
- Identify opportunities to improve administrative processes and ways of working

Your skills and experience
- Bachelor’s degree in business administration, Commerce, Arts, or a related discipline preferred
- 1–2 years of experience in an administrative, coordination, or support role, preferably in a structured or detail-oriented environment
- Experience working in a highly detailed or structured environment
- Strong written and verbal communication skills
- Comfortable working with stakeholders in different time zones
- Proficiency in Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint
- Experience using spreadsheets, trackers, and basic databases
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines
- High attention to detail and strong organisational skills
Good to Have
- Experience in administrative or office coordination, travel booking, or personal assistance
- Ability to quickly learn new systems, tools, and software applications
