Receptionist (part-time)

This is a part-time role offering 3 days per week (22.5 hours). The required working days are Wednesday, Thursday, and Friday.

Your next role 

You will be the first point of contact for clients and visitors in a busy, customer-focused office environment. This role is essential in creating a positive first impression and providing exceptional service.

You'll be responsible for managing front desk operations, handling incoming calls, greeting clients, and addressing inquiries with professionalism and courtesy. Additionally, the role involves administrative tasks such as scheduling appointments, maintaining office supplies, and supporting various office functions to ensure smooth daily operations.

Key duties

  • Answering calls in a timely and professional manner, including taking messages and dealing with ad hoc queries/issues.
  • Welcoming guests and contractors to site; ensuring they adhere to the signing in procedures.
  • Ensuring Reception shared mailbox emails are being dealt with in a timely manner.
  • Pre-register staff visiting London office.
  • Identifying areas for improvement within the FOH service, and putting forward to FOH Lead.
  • Record office metrics as required.
  • Ensuring FOH, client areas and cupboards are clear and tidy, carry out regular walk rounds.
  • Processing train ticket requests, ensuring accuracy and highlighting any issues.
  • Booking local taxis as required.
  • Managing incoming and outgoing post, parcels and couriers.
  • Assisting with catering when required.
  • Assisting with Right To Work checks for new starters.
  • Managing the access card database and providing new starters with access cards.
  • Assist with planning and coordinating office events.
  • Any other duties as and when required.

Your skills & experience

  • Previous Front of House experience, including managing a busy switchboard.
  • Excellent computer and IT skills including Word, PowerPoint and experience using spreadsheets and databases.
  • Excellent communication skills; including dealing with difficult customers.
  • Confident, proactive character, with the ability to take the lead in challenging situations.
  • Highly organised and able to problem solve.
