Are you ready to play a pivotal role in the success of our engineering projects? As a Project Operations Co-ordinator, you will be the backbone of our Project Operations team, providing essential commercial and operational support to our engineering teams.

Working closely with the Project Operations Manager, Job Leaders, and Project Directors, you'll ensure accurate resourcing, meticulous planning, and precise financial reporting of Engineering projects within the UK. Your efforts will help maintain consistency as well as help to identify, manage and mitigate our exposure to risks, and drive the success of our Specialist Consulting disciplines and the broader Project Operations team. Key duties

  • To maintain an accurate representation of financial performance across teams and projects, through the regular update of information in our ERP (Vantagepoint).
  • To support the Project Operations Managers with their management of the commercial performance of engineering teams, through the reporting and review of data from our ERP. 
  • To build and maintain strong relationships with key stakeholders both within the engineering teams and the Project Operations community, and works as part of these teams 
  • To hold a good understanding of Buro Happold systems and processes with a view to becoming a super user for those internal systems used within the role, and to provide guidance and champion best business practice 
  • To commit to learning and applying new skills with support and guidance of the Project Operations Managers, and to keeping up to date with new technical developments and tools 
  • To understand the impact of change, both in business processes and on projects 
  • To recognise and escalate risks and issues to the Project Operations Managers 
  • To ensure work own is prioritised and deadlines are met

 

Project Setup 

  • Support Job Leaders to populate their own resource plans; ensure plans are populated 
  • Liaise with JLs to ensure fees are allocated to workstages as instructed by Project Directors (PDs) 

Project Maintenance 

  • Support the POM with the review of job performance in the cost centre
  • Support the adjustment of plans under direction of POM, JLs or PDs in the group 

Project Accounts 

  • Assist POM with task relating to project accounts reviews at month end
  • Liaise with housekeeping regarding misposted time, under direction of JLs and POM 

Future Work 

  • Maintain bids (checking start dates, fees and probabilities) and ensure missing data is completed, contacting others in the project team as necessary 
  • Review and update P projects and plans under direction of PDs within the Cost Centre 
  • Create new opportunities or bids and projects 

Job Leader Reviews 

  • Review planned versus actual time bookings with POM 
  • Assist JLs with adjustments 

Resource Management 

  • Support POM and engineering team in ensuring capacity report (RUBO) is up to date and accurate (specific attention to In Pursuit plans starting in month)
  • Populate / amend Non-Project (Z) plans 

Training and support

  • Provide ad hoc ERP support / assistance 
  • Provide ad hoc reporting support / assistance Reporting • One-off data/report requests or collation as and when needed

 

Your skills and experience

  • Degree or similar qualification or commensurate vocational background in a relevant field (Business Management, Finance, Project Management)
  • Numerate, with strong analytical skills 
  • Strong verbal and written communication skills 
  • Organised and able to prioritise work 
  • Comfortable talking to a variety of stakeholders and able to pick the appropriate approach
  • Background in business support 
  • Experience of working within a professional services organisation 
  • Comfortable with data systems, reporting and databases, and has experience carrying out data analysis
