Lead Group Coordinator 

As a 12 months secondment, as well as providing Group Coordinator support to their own teams, as a Lead you will work alongside the Engineering and Office Support Lead, ensuring the Engineering Support Team provide a consistently high-level service to the Engineering teams. Working with Engineering Support Team on their development and goals, in line with their career path and company strategy.

The role would suit an organised, resilient, and detail-oriented person with previous experience in an administrative role, who is passionate about managing people and their progression. Someone who is receptive to change and can easily adapt in-line with the team/company strategy.

Key duties

Leadership

  • Direct line management of Group Coordinator/s and Administration Assistant/s 
  • Organise and conduct My Career Plan and provide feedback as necessary as well as regular one to one catch ups with direct reports 
  • Coordinate activities to ensure appropriate cover is provided for holiday, sickness etc
  • Work alongside other Lead Group Coordinators to facilitate appropriate support for multidiscipline deadlines
  • Assist team with planning and prioritising tasks as necessary
  • Liaise with HR and Engineering and Office Support Lead with regards to recruitment, notification of vacancies, reviewing CVs and conducting interviews for administration team
  • Performance management if required 
  • Overall responsibility for day to day running of the support team and managing resourcing across the team and liaising with other Lead Group Coordinators to ensure consistent support across the UK offices
  • Actively involved in the training of new and current Engineering Support Team members using our own specialised training materials
  • Encourage self-development using company L&D Hub

 

Group Coordination 

  • Manage allocation of IT hardware and software, ensuring that the IT requirements of the group are notified to IT support
  • Liaising and working with central business services teams when required
  • Assisting Business Development/ Marketing with creating bid submissions and preparing new and existing CVs and project sheets where applicable 
  • Typing, formatting, reviewing and modification of correspondence and documents prepared by the technical staff – ensuring the Brand guidelines are followed
  • Prompt Engineers to complete their weekly timesheets
  • Creating team presentations for office communications and team meetings 
  • Coordinating multidiscipline reports – highlighting deadlines, template usage and set up, etc. Where possible, attend initial meetings with key collaborators – highlighting template needs/ requirements. 
  • Arranging, attending, and taking minutes including follow up action points for internal group and client meetings for the engineering teams where applicable
  • Arranging discipline team away days / events including organising CPDs
  • Managing and coordinating business travel arrangements for the team, using an online platform and liaising with external Travel Management Company when required
  • Working alongside Welcome Coordinators to facilitate onboarding of new starters, including in-person support on first day and beyond 
  • Coordinate and arrange Career Path Objective meetings for the team – twice a year
  • Update and maintain Magellan SharePoint pages for teams
  • General ad-hoc admin duties

 

Group Leader Assistance 

  • Submission of Group Leader expenses to Finance

 

Learning & Development

  • Training Engineers in the use of the company systems/ processes/ Buro Happold Templates 
  • Commitment to self-learning / development

 

Systems

  • Ensure adherence to the administration side of our QMS 

Ensure that common systems and templates are set up and that any problems are communicated to IT Support

 

 

Your skills and experience

  • Excellent computer and IT skills including; Word, PowerPoint, Excel and experience of using spreadsheets and databases
  • Knowledge of InDesign desirable (desk top publishing package) - training provided.
  • Experience of setting up and maintaining administrative procedures and quality management systems
  • Excellent communication skills with the ability to negotiate and influence key stakeholders
  • Confident, proactive and resilient character, with the ability to take the lead in challenging situations
  • Ability to problem solve and think on your feet
  • Comfortable supporting a team of people as well as working on a one to one basis.
  • Must be motivated to work under own initiative
  • Introduces and takes ownership of the implementation of new ideas for the smooth running of the group.
  • Ability to prioritise workload and manage deadlines. 
  • Must be adaptable and open to change
  • Communication, negotiation, and relationship-building skills
  • Recognise that different people need to be managed in different ways and treat people appropriately
  • Knowledge of InDesign would be desirable – training will be provided
  • Knowledge of Photoshop and Illustrator would be desirable – training can be provided
  • Solid foundation of office experience
  • Working to and managing multiple deadlines within the team
  • Experience of supporting large teams and working across offices
  • Experience of supporting a team of people as well as working on a one-to-one basis
  • Experience of line management or coaching/supporting junior staff members - training can be provided
  • An understanding of the importance of improving or creating new process
