This pivotal administrative role within our global Talent Acquisition (TA) team collaborates closely with the TA community to ensure operational excellence in our usage of Tribepad, our Applicant Tracking System (ATS).  This role helps support an exceptional experience for our candidates and hiring managers through our recruiters.  Responsible for continuously improving and building effective and streamlined recruitment processes.  Coordination of global recruitment activities including social media and branding initiatives, to enhance our Employee Value Proposition (EVP) and attract top talent globally.

Key Responsibilities 

  • Support Global Recruitment Teams: Development and optimisation of the ATS to enhance the experience for candidates, recruiters and hiring managers.
  • Build recruitment workflows, create/enhance documentation and comms and ensure alignment to our authorities matrix.
  • Manage and solve queries from the TA teams and provide systems training as required.
  • Produce regional guides for all end users including hiring managers and recruitment agencies
  • Ensure compliance with our Preferred Agency Partners - manage, monitor and track acceptance and of our Terms of Business globally.
  • Train new agency users on the ATS and ensure regional TA teams are skilfully trained to release roles to those agencies via the system.
  • Work with the Global Recruitment Manager and Head of People Data to influence product enhancements for the ATS that supports global processes.
  • Engage with Tribepad to manage system updates, and to challenge unresolved tickets or issues.
  • Maintain accurate and up-to-date documentation on the ATS, including contracts, candidate comms and authorisation policies.
  • Manage the global recruitment inbox, answering candidate queries, resolving issues or distributing emails to the relevant recruiter.
  • Coordinate the global TA teams social media requests in conjunction with the Global Recruitment Manager and the Global Social Media Lead to support a schedule of talent attraction plans
  • Provide guidance and support on the initial onboarding and contract process to the TA teams and HR Shared Services.
  • Assist with ad-hoc projects alongside the Global Recruitment Manager.

 

Your skills and experience 

  • Confidently able to interact and influence global stakeholders, including HR colleagues and external suppliers.
  • Excellent problem solving abilities, able to diagnose and resolve technical issues.
  • Attention to detail – exceptional accuracy in data management, able to identify and correct errors, ensuring high quality outputs. Strong focus on maintain compliance and adhering to best practices.
  • Adaptable and proactive, motivated to drive continuous improvement.
  • Process driven with a focus on developing and optimising process for operational excellence.
  • Effective communication skills to ensure clear and concise information sharing.
  • Able to build strong relationship in order to influence stakeholders at all levels, to communicate effectively and drive consensus and achieve desired outcomes.
