Contract Administrator – Driving Excellence in Commercial & Legal Delivery.

We’re looking for a highly organised, detail‑driven Contract Administrator to support contract execution, governance, and stakeholder coordination across our international business.

About The Role:
As a Contract Administrator, you will be the backbone of our contract management process, ensuring agreements are executed efficiently, records are meticulously maintained, and governance obligations are met. Working closely with senior stakeholders, lawyers, project leaders, and external clients, you will help uphold our commercial integrity and support the smooth running of a fast-paced, global team.
Key Responsibilities:
Contract Execution & Signature Management
- Coordinate execution of consultancy appointments, subconsultant agreements, NDAs, framework agreements, novations, and notices.
- Manage both wet and electronic signatures (DocuSign, AdobeSign), ensuring authorised signatory approval.
- Issue fully executed agreements to clients and internal teams while maintaining accurate internal records.
Contract Administration & Records
- Maintain official contract records, SharePoint folders, Vantagepoint references, and executed document libraries.
- Retrieve historic contracts and support archive document release processes.
- Log and distribute Commercial and Legal Team post appropriately.
Governance & Approvals (GCCX / CCX)
Act as administrative lead for GCCX, including:
- Circulating agendas and papers
- Issuing late waivers
- Recording and distributing minutes
- Maintaining decision records and approvals
- Supporting any follow-up actions
- Liaise with senior stakeholders on delegated authority and approval processes.
Commercial & Legal Support:
Support lawyers and commercial leads by:
- Preparing contracts for execution.
- Managing correspondence with external clients and legal representatives.
- Assisting with notices (termination, assignment, indemnities, defects).
- Conducting initial reviews of NDAs.
- Serve as the primary contact for external parties regarding executed documents.
- Coordinate proof-of-insurance requests and maintain insurance records.
- Assist in producing reports and data extracts for business reviews and audits.
Stakeholder Coordination:
Interface professionally with:
- Internal Commercial & Legal teams.
- Project Leads.
- Directors and authorised signatories.
- External clients, consultants, and legal advisers.
- Ensure correct routing of approvals and maintain clear audit trails.
What We Are Looking For:
- Proven experience in contract administration and document control.
- Exceptional attention to detail and strong governance discipline.
- Confidence engaging with senior stakeholders and external clients.
- Experience working with international consultancy contracts and varying jurisdictions.
- Ability to manage a high volume of contracts concurrently in a fast-paced environment.
- A positive, approachable and solutions‑focused attitude.
